Summary General Summary
This position supervises Health Information Management clerks. It
requires a broad working knowledge of all medical record
activities. Develops, implements, and monitors all departmental
policies and procedures.
This position will be responsible for Alpena and West Branch and
will need to travel between the two locations.
Essential Duties & Responsibilities
- (35%)* Develops, implements and monitors policies and
procedures associated with Medical Records activities such as
guidelines for completion of medical records, record retention,
scanning of paper documents into EMR, processing of birth
certificates and release of medical information and supports
MyMichigan.
- (35%)* Responsible for performance reviews for employees,
employee counseling and discipline, staff development, interviewing
and hiring of personnel, monitoring of employee activities to
ensure compliance with departmental standards, and ongoing
education and training.
- (30%)* Coordinates and plans activities associated with daily
management of operational areas. Provides recommendations for
department priorities. Conducts monthly clerical meetings.
Coordinates and participates in Quality Improvement Process work
teams regarding future department direction.
OTHER DUTIES AND RESPONSIBILITIES:
- Monitors budgetary payroll allocations and utilization of
approved overtime hours.
- Interacts with various vendors as needed. Maintains
departmental customer relations with all customers such as
patients, physicians, other health care professionals, general
public and MidMichigan Health affiliates.
- Monitors and orders office supplies. Responsible for offsite
storage facility.
- Coordinates storage and retrieval of MPG and MidMichigan
Medical Center's records.
EDUCATION, EXPERIENCE, TRAINING AND SKILLS:
- High School Diploma or GED required
- RHIA - Registered Health Info Analyst or RHIT - Reg Heath
Inforamtion Tech
- Knowledge of medical record practices, policies and procedures
as normally acquired through 2 years experience working in a
Medical Center or similar setting. Leadership skills needed to
effectively direct a group.
- Organizational skills needed to prioritize and disseminate work
assignments.
- Interpersonal skills needed to communicate successfully with
individuals and groups and interact with people at all levels to
communicate ideas and concepts in a clear and understandable
manner. Ability to interpret and apply federal, state and Joint
Commission guidelines and regulations.
- Ability to interpret and apply hospital and medical staff
policies and procedures, rules and regulations.
- Ability to evaluate the performance of other staff members
against criteria in their job descriptions.
- Mandatory Occupational Safety and Health Administration (OSHA)
training must be completed annually according to the Exposure
Control Plan.
PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:
- Exposure to stressful situations, including those involving
public contact, as well as, trauma, grief and death.
- Able to wear personal protective equipment that includes latex
materials or appropriate substitute if required for your position.
Is able to move freely about facility with or without an assisted
device and must be able to perform the functions of the job as
outlined in the job description.
- Overall vision and hearing is necessary with or without
assisted device(s).
- Frequently required to sit/stand/walk for long periods of time.
May require frequent postural changes such as stooping, kneeling or
crouching.
- Some exposure to blood borne pathogens and other potentially
infectious material.
- Must follow MidMichigan Health bloodborne pathogen and TB
testing as required.
- Ability to handle multiple tasks, get along with others, work
independently, regular and predictable attendance and ability to
stay awake.
- Overall dexterity is required including handling, reaching,
grasping, fingering and feeling.
- May require repetition of these movements on a regular to
frequent basis.
- Physical Demand Level: Sedentary. Must be able to occasionally
(0-33% of the workday) lift or carry 0-10 lbs.
